Aegisys Cloud Solutions

Secure IT Recycling

Retire old IT.
Destroy the data.
Recycle responsibly.

Dead drives still hold live data. Aegisys provides certified data destruction and responsible electronics recycling for Canadian organizations. Drop off your equipment at our Sudbury location — we handle the rest.

Drop-Off Service Only — We receive client devices at our Sudbury location. Contact us to schedule your drop-off or ask about volume arrangements.

The risk is real

An old hard drive in a drawer is a ticking liability.

Retired equipment doesn't mean retired risk. Data lingers on drives long after devices are powered down. Proper disposal isn't optional — for regulated industries, it's the law.

Data Breach Exposure

A drive in a landfill — or even a donation bin — can expose customer records, financial data, or trade secrets to anyone with basic recovery tools. Certified physical destruction is the only real protection.

Compliance Obligation

PIPEDA, HIPAA, SOC 2, and sector-specific regulations require verifiable data destruction. We provide the destruction certificate your auditors need — no gaps, no guesswork.

Environmental Responsibility

E-waste contains toxic materials. Certified recycling recovers 95%+ of usable metals and components, keeping hazardous waste out of Canadian soil and water.

Sustainability Reporting

ESG and corporate sustainability commitments increasingly require documented e-waste handling. Our certificates support your environmental reporting and stakeholder accountability.

How It Works

Simple, secure, documented — every step.

Our process maintains a full chain of custody from the moment your devices arrive to the final destruction certificate. Nothing falls through the cracks.

01

Contact Us & Schedule Your Drop-Off

Reach out with a rough inventory of your equipment. We'll confirm what we accept, answer any questions, and schedule a time for you to bring devices to our Sudbury facility. No appointment? Walk-ins welcome during business hours.

Drop-off at Aegisys Sudbury — no pickup service at this time.

02

Inventory & Chain of Custody

When your equipment arrives, we log every device: make, model, serial numbers, and asset tags. You receive a signed intake form confirming what we received. The chain of custody starts here and is maintained throughout.

03

Certified Data Destruction

Every storage device — hard drives, SSDs, USB drives, tapes, memory modules — is physically destroyed using certified methods aligned with NIST 800-88. Data is rendered permanently unrecoverable. We don't overwrite. We destroy.

04

Responsible Component Recovery

Non-data components — metals, plastics, glass, PCBs — are sorted and routed to certified recycling partners. Over 95% of material is recovered from most devices. Hazardous materials (batteries, lamps) are handled per provincial regulations.

05

Destruction Certificate & Final Report

You receive a complete destruction certificate: device list with serial numbers, destruction method used, date completed, and our signature. This document satisfies SOC 2, PIPEDA, HIPAA, and other audit requirements. Keep it with your compliance records.

Doc says

"Deleting a file doesn't delete the data. Physical destruction does."

Here's something that surprises a lot of businesses: formatting a drive, doing a factory reset, or even running a "secure erase" software tool does not guarantee data is gone. Sophisticated recovery tools — the kind any motivated attacker can get — can pull back data from drives that look wiped.

Physical shredding is the only way to be certain. Aegisys uses certified equipment to destroy drives to the point where recovery is physically impossible. That's the standard your compliance framework requires — and the standard your clients deserve.

Standards & Compliance

Backed by the frameworks that matter

Our destruction process aligns with industry and regulatory standards, giving your compliance team documentation they can rely on at audit time.

NIST SP 800-88

Guidelines for Media Sanitization — the federal standard for data destruction. Our physical destruction methods meet and exceed these requirements.

PIPEDA Compliance

Canada's Personal Information Protection and Electronic Documents Act requires verified disposal of personal data. Our certificates satisfy this requirement.

SOC 2 Type II Aligned

Aegisys is SOC 2 Type II certified — among the top 5% of MSPs globally. Our disposal process reflects the same rigorous, audited controls.

HIPAA / Healthcare Standards

For healthcare clients, data destruction must meet strict PHI requirements. We provide the documentation trail your HIPAA compliance demands.

Full Chain of Custody

Every device is tracked from drop-off to destruction. Signed intake, inventory log, and destruction certificate — all tied to your specific devices.

Environmental Regulations

Material handling and e-waste disposal comply with Ontario and federal environmental regulations. No shortcuts, no illegal dumping.

Frequently Asked Questions

Everything you need to know

Still have questions? Doc and the team are happy to help. Contact us anytime.

Do you offer pickup from our office?

At this time, we receive client devices at our Sudbury location only — we do not offer pickup service. Simply bring your equipment to us and we handle everything from there: inventory, data destruction, recycling, and certification.

What devices do you accept for recycling?

We accept virtually any IT equipment: desktops, laptops, servers, hard drives (HDD & SSD), tablets, mobile devices, printers, copiers, network switches, routers, monitors, peripherals, memory modules, USB drives, SD cards, and backup tapes. When in doubt, call us — if it has a circuit board or storage media, we can handle it.

How is my data actually destroyed?

All storage media — hard drives, SSDs, and solid-state memory — undergo certified destruction using NIST 800-88-compliant methods. Physical drives are shredded until data is unrecoverable. You receive a detailed destruction certificate with serial numbers, destruction method, and the date completed.

What if a hard drive is already damaged or dead?

No problem. Damaged, corrupted, or physically broken drives still pose a data risk. We shred them regardless of condition. Data cannot be recovered from a properly shredded drive.

What documentation do I receive?

Every drop-off generates a chain-of-custody log, device inventory report, and a signed destruction certificate. These documents satisfy PIPEDA, SOC 2, HIPAA, and other compliance audit requirements.

Is there a cost for recycling?

Pricing depends on device type and volume. We'll provide a clear quote after reviewing your inventory — no surprises, no hidden fees. Contact us or bring in your equipment list and we'll get you a same-day estimate.

How long does the process take?

Most standard drop-offs are processed within 1–2 business days. Large volume or time-sensitive disposal can often be fast-tracked — contact us to discuss your timeline.

Can Aegisys help us plan a full hardware refresh or office decommission?

Absolutely. Our team offers IT lifecycle planning as part of Managed IT. We can help you plan the refresh, procure new equipment, migrate data securely, and dispose of the old hardware — all under one roof.
